Job profile: -First point of contact for visitors, clients and employees who are met and greeted in the Reception area; -Responsive and courteous attitude towards all people with whom the position comes in contact; -Responsible to engage and manage all administrative tasks for the office administration to provide the best support to employees; -Meeting & greeting visitors, ensure compliance to controlled access procedures, register visitors in dedicated log, announce host to come and pick-up guest -Managing in an efficient and professional manner the Romanian Control Bodies visits, announcing company’s stakeholders as per the internal procedure drafted by the Legal Department; -Coordinate the signature of the documents with the company’s legal representatives through the internal system; timely follow-up and notification with the requestors; -Answering all incoming call and take messages to relevant staff members; -Booking of local couriers requested by staff; accepting deliveries into the office and advising staff of their arrival, including distribution of daily airbags from locations; -Booking Video Conference and Meeting Rooms and ordering suitable morning/afternoon teas and lunches when necessary. Notification of booking via email; -Timely processing of incoming and outgoing mail: DHL orders and tracking, recording and distribution of mail across locations, distributing confidential business-related correspondence; mail forwarding on letters to employees who have left our office; -Act as contact person in the relationship with some vendors based on authorization from Procurement department; performs administrative tasks in line with the given authorization; -Processing of mail for Finance department: all invoices are date stamped, scanned / uploaded to internal system in line with the set-up procedure for various departments; invoices archiving in collaboration with Finance department; -Placing monthly orders for office supplies & consumables, via email or through company’s tools; -Coordinate the services provided by Building Services for office maintenance (acting as main point of contact with the building’s administrative and technical staff); -Coordinate all administrative tasks for the proper maintenance of the office (name plates, business cards, access cards etc); -Sending out company-produced magazines to all staff and all locations via email or share point; -When needed, raise purchase orders as required by Facilities coordinator; -Arrange booking of venues /catering services for company events upon request; -Employee may be assigned other duties, in addition to or in lieu of those described above, and any duties are subject to change at any time, according to the needs of the location or Company; -Incorporate safe work procedures in all aspects of the job while maintaining a safe work environment; -Follow documented Quality, Health, Safety & Environment (QHSE) procedures; -Encourage safe working practices with other employees; -Maintain updated minimum QHSE training; -Attend all on-site and quarterly safety meetings.Descrierea companiei
