Adecco Professional Placement is looking for its client, a well-known multinational company, a ADMINISTRATIVE ASSISTANT : REQUIRED : - Minimum 3 years of proven experience as administrative assistant or executive assistant or other relevant administrative positions ; - University degree ; - Strong can-do attitude and proactive approach ; - Strong problem-solving and analytical skills ; - Ability to organize a daily workload by priorities ; - Precision and accuracy ; - Ability to meet the deadlines in a fast-paced quickly changing environment ; - Professional level verbal and written communication skills ; - Fluent in English and one additional language ; - IT literate ; - Availability to travel in Romania and abroad ;Descrierea jobului
Tasks and Responsibilities: Administration : ▪ Is the office local point related to administrative issues including but not limited to IT, utilities, office supplies, leasing, etc. ▪ Perform the office duties such as ordering the office supplies and managing the records database. ▪ Support the Head of Branch to carry out administrative and marketing activities. ▪ Support the Head of Branch to arrange meetings, provide translation, draft agenda and minute of the meetings. ▪ Greet the Company guests and visitors and guide them to the visited person or take messages. ▪ Can answer to phone calls and rout them to the correct person or take messages. ▪ Collect and deliver the documents from and to Company, local authorities, local stakeholders including but not limited to banks, consultants, suppliers and customers. ▪ Can prepare the statements, reports, memos, letters and other documents. ▪ File and retrieve the Company records, documents and reports. ▪ Read and analyse the incoming memos and submissions and distribute them as required. ▪ Book the flight tickets and accommodation for the staff personnel (and/or field personnel when required). ▪ Arrange the local transfers including but not limited to taxi services, bus and train tickets and rental cars for the staff personnel (and/or field personnel when required). ▪ Serve as link between the Company and suppliers providing the travelling, accommodation and transfer services. ▪ Keep up good communication with the suppliers providing the travelling, accommodation and transfer services and contact them to solve any issue related to such services. ▪ Follow up the collection of the documents coming from the suppliers providing accommodation and transfer services, including but not limited to reports, bills and invoices. ▪ Track the attendances of the staff personnel (and/or field personnel when required) on daily basis. ▪ Fill in the monthly timesheets of the staff personnel (and/or field personnel when required) and send them to their managers for approval. ▪ Fill in the monthly travel orders of the staff personnel (and/or field personnel when required) and send them to their managers for approval. ▪ Check the individual expenses reports of the staff personnel (and/or field personnel when required) and send them to their managers for approval. ▪ Check the company card expenses reports of the staff personnel (and/or field personnel when required) and send them to their managers for approval. ▪ Check the AP invoices related to administration services for cost control purposes as per internal procedure. ▪ Can back up temporarily a different job position of the organization.Tasks and Responsibilities: Reporting : ▪ Provide promptly the direct manager with all the relevant feedback and whatever may be important to be reported. ▪ Issue any monthly/quarterly/yearly report which is required by the current procedures.Descrierea companiei
